Find a Vet Physio Privacy Notice

This notice covers the StrideNotes Find a Vet Physio directory at stridenotes.co.za/find-a-vet-physio. It explains what we do with personal information when you search the directory or send an enquiry, and how listed veterinary physiotherapists can correct or remove their listing. It is separate from the StrideNotes app privacy policy, which covers practitioners using the StrideNotes app.

1. Who we are

The directory is run by Flag Finder (Pty) Ltd, trading as StrideNotes, the responsible party under the Protection of Personal Information Act (POPIA). Our Information Officer is Daniel Ponelat, contactable at privacy@stridenotes.com.

2. If you send an enquiry

When you contact a vet physio through the directory, we collect:

• your name, email address and (optionally) phone number
• your town
• the type of animal and the description you write
• your consent to share these details with the vet physio, and when you gave it

We use this only to pass your message to the vet physio you chose, so they can reply to you, and to send you a confirmation email with a copy of your message. We rely on your consent to do this, and you can withdraw it at any time by emailing us. We don’t sell your details, add you to a mailing list, or share them with other vet physios.

To stop spam, the enquiry form uses Cloudflare Turnstile, which checks that a person, not a bot, is sending it. We also store a scrambled (hashed) version of your IP address with your enquiry. It lets us limit how many enquiries can be sent in an hour, and it can’t be turned back into your IP address.

Once the vet physio has your message, they handle your information as their own responsible party. Please check their own privacy terms for how they manage client records.

We keep your enquiry for 12 months to deal with complaints and abuse, then delete your message, phone number, town, animal details and the hashed IP address. We keep a record of your consent (your name, email address, which vet physio you contacted, and when you agreed) so we can show that you agreed to share your details.

3. Searching by location

When you type a place or use your current location, your browser sends that search to Mapbox, our map provider, to find the place and show the map. We don’t store your searches. A place you search for is kept in the page address (for example ?near=George) so you can share the search or go back to it. Current-location searches are rounded to about 1 km before they’re used.

4. Who we share information with

• The vet physio you chose, for enquiries.
• Resend, Inc., which sends enquiry and confirmation emails on our behalf, in the United States.
• Neon, Inc., which stores the directory’s database, including enquiries, in Frankfurt, Germany.
• Vercel, Inc., which hosts this website in the United States and gives us anonymous page-view statistics without using cookies.
• Mapbox, Inc., for maps and place search, which may process searches outside South Africa.
• Cloudflare, Inc., whose Turnstile check on the enquiry form uses your IP address and information about your browser to tell people from bots. Cloudflare may process this outside South Africa.

Where information is processed outside South Africa, we rely on the provider’s contractual safeguards as permitted by section 72 of POPIA.

5. For listed veterinary physiotherapists

Listings show professional information only: your practice name and logo, qualifications, services, the town you work from, roughly how far you travel, and links to your website and social media. Your first name may appear in your practice description. We never publish your surname, a street address or your email address. Your email is used only to forward enquiries.

We list veterinary physiotherapists because it’s in the legitimate interests of animal owners, and of the profession, to be able to find practitioners near them (section 11(1)(f) of POPIA).

We create listings from the practice’s own public website and social media pages.

You can ask us to correct, update or remove your listing at any time by emailing support@stridenotes.com. We’ll act on correction and removal requests within 5 working days. For any other privacy request, contact our Information Officer at privacy@stridenotes.com.

6. Your rights

Under POPIA you can ask to see the personal information we hold about you, have it corrected or deleted, and object to how we use it. Contact our Information Officer at the address above. If you’re not happy with our response, you can complain to the Information Regulator at POPIAComplaints@inforegulator.org.za.
